Relaycairn Request a 20-minute teardown

For owner-operated carriers · roughly 10-120 trucks

Your trucks delivered. Your invoices are still waiting on a text from a driver.

We build custom AI operations systems that chase PODs and BOLs, assemble detention evidence, and keep driver documents current, so your office stops chasing paper and your dispatchers stop answering "where's the invoice copy?"

A 20-minute call where we map where paperwork stalls in your operation. Fixed-price builds from $5k to $25k, scoped per engagement. No guaranteed outcomes: we show you what we would build and what it depends on.

Where the paperwork leaks cash

The freight moved. The money didn't.

If you own the trucks, you feel this every week. Four leaks we see described again and again in asset-based carrier back offices.

1

Delivered, but not invoiced

The load is empty, the driver is on the next one, and the POD, BOL or lumper receipt is somewhere in a text thread. Billing waits until someone chases it, and the load sits uninvoiced for days.

"Anyone heard from Mike on that Tuesday drop?"

2

Detention and accessorials nobody billed

The driver sat at the dock, but the arrival and departure times, the rate-con terms and the BOL stamps never got pulled together while the customer would still listen. So it goes unbilled.

"We probably should have billed that."

3

Driver files chased by hand

CDL, medical card, insurance certificates, W-9: onboarding and renewals run on texts, phone calls and a spreadsheet of expiry dates that is only as current as the last person who touched it.

"Who has Dave's new med card?"

4

Status and invoice-copy requests interrupting dispatch

Customers email and call for a POD, an invoice copy or a "where's my truck." Every one pulls a dispatcher off the board to dig through folders.

"Can you resend that invoice with the POD attached?"

Three named systems

Built around your TMS, your inbox and your drivers' habits.

Each system is a custom build scoped to your workflow. Most engagements start with one or two. By default, your team reviews and approves anything that goes to a customer.

POD-to-Invoice Chase

What it does

Watches for delivered loads, requests missing POD, BOL and lumper receipts from drivers by their preferred channel, follows up on a schedule, matches incoming documents to the right load, and flags loads that are billing-ready or stuck.

What your team stops doing

  • Texting and calling drivers for paperwork
  • Checking inboxes and photos to find which load a document belongs to
  • Keeping a running "waiting on POD" list

What we need from you

  • A walkthrough of how a load goes from delivered to invoiced
  • Sample documents (redacted is fine)
  • A way to read load status from your TMS (API, export or email)

Detention & Accessorial Evidence Packager

What it does

Gathers the evidence for a possible detention or accessorial charge (arrival and departure times, rate-confirmation terms, BOL and receipt images, driver notes) into one review-ready packet per load, so your team can decide and bill while it is fresh.

What your team stops doing

  • Piecing together timestamps from several systems after the fact
  • Hunting for the rate-con clause that sets free time
  • Letting billable charges lapse because nobody had the time

What we need from you

  • Your detention and accessorial policy by customer
  • Where time data lives (ELD, driver app, TMS, BOL)
  • A person who approves what gets billed

Driver Document & Expiry Tracker

What it does

Collects onboarding and renewal documents from drivers, reads and files them, records expiry dates, and sends reminders to drivers and your office ahead of each date, replacing the spreadsheet with a living list.

What your team stops doing

  • Chasing new hires for the same documents
  • Re-typing expiry dates into a spreadsheet
  • Remembering who is due next month

What we need from you

  • Your current driver document checklist
  • Your existing expiry spreadsheet or file structure
  • Cloud storage or a folder where the files should live

This tracks dates your team records. It is not compliance advice, and your team remains responsible for qualification-file decisions.

Before and after

Same load. Fewer touches.

A simplified view of the delivered-to-invoiced path. Your real workflow will differ, and mapping it is what the teardown is for.

Before Illustrative

  1. Driver delivers the load
  2. Office notices the load has no PODSpotted when someone checks the board
  3. Text and call the driver, repeatPhoto arrives in a thread or personal email
  4. Someone matches the photo to a load by handDetention evidence pulled together later, if at all
  5. Invoice goes out, days after delivery

After Illustrative

  1. Driver delivers the load
  2. System sees the delivery and requests documentsAutomatic follow-ups on a schedule
  3. Document arrives and is matched to the loadDetention evidence packet assembled in parallel
  4. Your staff review only exceptions and approveMissing or unclear documents are flagged
  5. Invoice goes out when the load is billing-ready

How the engagement works

Teardown, fixed-price build, 30-day tuning.

A custom build scoped per engagement, with the price agreed before work starts.

Operations teardown

A 20-minute call. We walk through delivered-to-invoiced, detention, driver documents and customer requests, and tell you honestly which are worth automating and which are not.

Scoped fixed-price build

You get a written scope, price and timeline per system. We build against your real documents and tools, and your team tests it before it goes live.

30-day tuning

After go-live we spend 30 days adjusting for real driver behaviour, odd customers and document edge cases that only show up in live use.

$5k-$25k

Fixed price, agreed before the build

What drives scope:

  • Number of systems: one, two or all three
  • TMS and ELD integrations: a read-only export is simpler than a deeper connection, and some tools limit what is possible
  • Document volume and variety: number of customers, document types and drivers

Illustrative only: a single system fed by email and a TMS export sits toward the lower end; several systems with multiple integrations and high document volume sit toward the upper end. Your exact price comes from the teardown.

Tools we connect to

We work with the stack you already have.

Described by category. We do not claim partnerships with, or ready-made integrations for, any specific vendor. Feasibility depends on what your software allows, and we confirm it before you commit.

  • Transportation management system (TMS)
  • Email and shared inboxes
  • E-signature tools
  • Cloud storage and shared folders
  • Accounting and invoicing software
  • Driver messaging and document capture
  • ELD and telematics data (exports or available APIs)

Questions owners ask

FAQ

What access do you need, and how is it kept secure?
We scope access to the minimum each system needs: typically a dedicated mailbox or shared folder for incoming documents, and read access or exports from your TMS where possible. You own all accounts, we ask for named or delegated access rather than shared passwords, and access is removed when the engagement ends. We do not claim formal security certifications; we will walk through exactly what is touched before anything is built.
Does this replace our dispatchers or office staff?
No. The systems remove the chasing, matching and re-keying: texting drivers for PODs, assembling detention evidence, tracking expiry dates in spreadsheets. Your people still dispatch, make judgment calls, talk to customers and approve what goes out.
How long does a build take?
The teardown is 20 minutes. After it, you receive a fixed-price scope with a timeline for each system. Timeline depends on the number of systems, your TMS and ELD setup, and document volume, so we do not quote a date before seeing your workflow. Every build includes 30 days of tuning after go-live.
What is not included?
Not included: replacing your TMS, ELD or accounting software; dispatch or load-planning decisions; legal, FMCSA, DOT or compliance advice; guaranteed outcomes or savings; and integrations that your software does not allow. Your team stays responsible for qualification-file decisions and for approving customer-facing billing.
Do you integrate directly with our TMS?
It depends on what your TMS offers. Some expose an API, others only support email-in, scheduled exports or shared folders. We confirm what is feasible during the teardown and scope the build around it. We do not claim ready-made integrations; each build is custom.
Can you promise how much faster we get paid or how much detention we recover?
No. Results depend on your customers, contracts, driver habits and document volume. We build systems that reduce manual chasing and assemble evidence; we do not guarantee cash-flow or savings figures.
