AI operations for title & escrow companies

Closings shouldn’t stall on a missing document and an unanswered email.

We build and run the follow-up systems so your processors stop chasing by hand: missing-document reminders, payoff-request follow-up and closing-status updates, set up on the tools your firm already uses.

Built for owner-operated independent title and escrow firms, roughly $1M–$20M in revenue with 5–60 staff. Engagements typically run $5k–$25k depending on scope; the final price is set in a written quote after scoping. We don’t promise outcomes, we scope the work and build it.

Three systems, one engagement

Where files get stuck, and what we put in place

Each block below starts with how the work usually goes today, then describes the system we would build. Which of these are in scope is decided on the scoping call.

System 01

Missing-document chase

What happens today

A file is waiting on something from a lender, realtor, seller or buyer. A processor remembers to ask, asks again by hand, and loses track when the desk gets busy. The file sits until someone notices.

What we build

An automated, escalating reminder sequence by email and SMS for each file and each outstanding item, plus a staff-visible exception list showing what is still open and who hasn’t responded.

System 02

Payoff-letter & lien-release follow-up

What happens today

A payoff or release request goes out to a lender or servicer, then nobody looks at it again until the closing date is close. Whether it came back is checked from memory or a sticky note.

What we build

A request tracker with timed nudges to the other party, and a flag raised when a request is at risk of missing the closing date, so a person steps in while there is still time.

System 03

Closing-status updates

What happens today

Agents and lenders call and email asking “where are we?” Someone on your team stops what they’re doing, opens the file and writes the same kind of reply over and over.

What we build

Templated status digests drawn from the file-management data your firm already has, sent on a schedule or on request, so routine questions are answered before they’re asked.

Illustrative example
Subject: Status digest, File 0000 (sample only)

Open items from the buyer side:
 - Proof of homeowner’s insurance: requested, 2 reminders sent
Open items from the lender side:
 - Payoff letter: requested, awaiting response
Closing date on file: [date]
Next staff check: [processor name]

This is a mock layout to show the idea. Real digests use your fields, your wording and your file data.

How an engagement works

Five steps, with the price fixed in writing before we build

  1. Scoping call (30 minutes)

We walk through how a typical file moves, where it stalls, and which of the three systems matter most for your firm.

  2. Written scope and fixed quote

You receive a written scope and a fixed quote. Engagements typically run $5k–$25k depending on scope; the final price is whatever the written quote says.

  3. Build on your existing tools

We build with what you already run: n8n, email, spreadsheets or exports from your file-management system. We don’t ask you to change production software.

  4. Staff walkthrough

We show your processors and managers how the reminders, exception list and trackers work and what they’re expected to do with them.

  5. 30-day tune-up

After go-live we spend 30 days adjusting timing, wording and rules based on what your team actually sees.

Scope & pricing

A range, then a written quote

$5k–$25k

Typical range for the engagement. Where you land depends on how many of the three systems are in scope, how many file types you run, and how clean the data in your tools is. The final price is set in a written quote after scoping.

If the scope turns out to be smaller than you expected, we say so, and we quote the smaller job.

Typically in scope

  • Reminder and escalation rules for the document types you choose
  • An exception list your staff can see and work from
  • Payoff and release request tracking with at-risk flags
  • Status digest templates fed from your existing file data
  • Staff walkthrough and a 30-day tune-up

Not part of this engagement

  • A software license or a replacement for your closing platform
  • Legal, compliance or regulatory advice
  • Anything you haven’t approved in the written scope
What we need from you

Three things, and none of them is a password

  • One sample file workflow. Walk us through a recent file from open to close, with client details removed or covered.
  • Read access that you grant and control. We agree during scoping what we need to see and how it’s shared. You can revoke it.
  • One point of contact. A single owner or operations lead who can answer questions and approve decisions.

Please don’t send credentials, client data or file contents through the form on this page. Access is arranged separately after scoping.

Fit and non-fit

Who this suits, and who it doesn’t

A good fit if…

  • You’re an owner-operated title or escrow company.
  • You have two or more processors working files.
  • Your files follow repeatable types, such as purchase, refinance or a standard seller side.
  • Follow-up is done by hand today, and you want it done consistently.

Probably not a fit if…

  • You want to buy a software license or subscribe to a product.
  • You want an off-the-shelf replacement for your closing or production platform.
  • Your files are almost all one-off and have no repeatable steps.
  • You want a guaranteed outcome. We don’t offer one.
Questions

Straight answers

What data will you touch, and how is it handled?

The scoping call covers exactly what data would be touched, where it would live and who would see it, including any agreements your lender and underwriter relationships require. We don’t make compliance or certification claims on this page. Your own counsel or compliance contact decides what your firm needs, and we work within that.

Do you replace our production software?

No. We build around the tools you already use. Your closing or file-management platform stays where it is.

Do we need to use n8n?

We typically build in n8n, connected to your email, spreadsheets or exports from your file-management system. The scoping call confirms what fits your setup. If your tools can’t support a system, we tell you before you pay for it.

How long does it take?

The timeline is set after scoping, because it depends on how many systems are in scope and how your data is organized. It’s written into the scope and quote.

What if the scope is smaller than we expected?

We say so. If one system solves your real bottleneck, we’ll recommend that and quote it, and the price follows the smaller scope.

How much does it cost?

Engagements typically run $5k–$25k depending on scope. That is a range, not a quote. The final price is set in a written, fixed quote after the scoping call.

Will messages go out to our clients without our review?

You approve the wording, timing and recipients during the build. Escalations go to a person on your staff, and the exception list shows what is outstanding. Rules for SMS and consent are your firm’s decisions, and we build to what you decide. This is not legal advice.

What happens after the 30-day tune-up?

The systems keep running on your tools. If you want further changes or ongoing help, we scope that separately in writing. Nothing continues automatically.
