Relaycairn Book a Leak Review

AI operations for HVAC, plumbing, roofing and electrical

Stop losing booked jobs to slow follow-up

You already paid to get the call or the web lead. We build the systems that answer it, chase the quote, hand the job to dispatch, ask for the review and remind the customer to pay, so your office stops being the bottleneck.

Book a 30-minute Operations Leak Review For owner-operators of $1M-$20M home-service companies.

Where the leaks happen

Five places revenue slips out of a busy shop

None of this is a people problem. It's what happens when a good crew and a small office are asked to do everything by hand.

“The phone rang at 7pm and nobody called back until morning.”

Missed, after-hours and web-form leads go to the next company on the list. The first business to respond usually gets the first shot at the job.

“We sent the quote and never heard back.”

Estimates go out, then get buried. Nobody has time to follow up on day two, day five or day ten, so warm quotes go cold.

“Scheduling lives in texts, sticky notes and my head.”

Every sold job is retyped, relayed and confirmed by hand between sales, the office and the tech. Details get dropped and customers get surprised.

“Happy customers never get asked for a review.”

Good work finishes without a Google review request, while the one unhappy customer is the one who posts.

“I'm still waiting on invoices from last month.”

Unpaid invoices sit because chasing them is awkward and always the last thing on the office's list.

What we build

One connected system, five jobs

We wire AI and automation into the software you already run. For each piece, here is what is automated and what stays with your people.

Lead capture and instant response

Every call, text and web form lands in one place and gets an immediate reply.

Automated

Instant text or email reply to missed calls and web leads, including after hours. Basic questions are collected (address, issue, urgency) and the lead is logged to your CRM or job software.

Stays human

Emergencies, pricing conversations and booking judgment calls. Anything urgent or unusual is flagged to a person right away.

Quote follow-up sequences

Every open estimate gets a consistent, polite follow-up until it is won, lost or paused.

Automated

Timed reminders by text and email after a quote is sent, drafted in your voice and stopped the moment the customer replies or books.

Stays human

Negotiation, scope changes and the personal call on bigger jobs. Replies are routed to the right person.

Scheduling and dispatch handoffs

Once a job is sold, the details move on their own instead of being retyped.

Automated

Job details passed from sale to scheduling, appointment confirmations and reminders to customers, and a clean summary to the assigned tech.

Stays human

Dispatch decisions: who goes where, and when. We tidy the handoffs but do not replace your dispatcher.

Review requests

Every completed job triggers a request while the customer is still happy.

Automated

A short text or email with your Google review link after job completion, plus a gentle single reminder. Customers who report a problem are routed to you instead of to the review link.

Stays human

Responding to reviews and resolving complaints. Drafts can be prepared for you, but you decide what gets posted.

Invoice reminders

Unpaid invoices get chased on a schedule, without anyone having to remember.

Automated

Friendly reminders before and after the due date, with a payment link where your system supports it, stopping once the invoice is paid.

Stays human

Disputes, payment plans and any collections decision. Overdue accounts are surfaced to you with context.

Your actual setup depends on your tools and how you run jobs. See the before/after process example below for what a change looks like, and how we will label real client results when we have them.

How an engagement works

Four steps, no surprises

  1. Operations Leak Review

A 30-minute call. We walk through how leads, quotes, scheduling, reviews and invoices move today and where they stall. You get a plain view of the biggest leaks.

  2. Scoped build plan, fixed price

We write down exactly what will be built, what tools it touches, what stays manual, and the price. The price is fixed once you approve the plan.

  3. Build and test

We build the system and test it against your real scenarios before anything goes live to customers. You review the messages and rules before launch.

  4. Handoff and training

Your team is trained on how it works, how to pause or change it, and who to contact. You receive written documentation of what was built.

Before and after

What changes in the process

Status: no client example published yet

Illustrative example, not a client result. The scenario below shows how one after-hours web lead moves through a shop before and after the lead-response system is in place. It contains no numbers because none are measured yet.

Before (illustrative)

A web form at 8:40pm

  1. The form lands in a shared inbox nobody checks after hours.
  2. The next morning someone finds it among other email and decides when to call.
  3. The call may go to voicemail, and there is no second attempt unless someone remembers.
  4. The lead may already have booked another company.
After (illustrative)

The same form, with the system in place

  1. The homeowner gets a text within a minute and is asked for address, issue and urgency.
  2. The lead is logged to the CRM, and anything urgent is flagged to a person.
  3. The next morning the office sees a prioritized list instead of a cold inbox.
  4. If there is no reply, one polite follow-up goes out, and a person handles the call and the booking.

Our standard for the first real example

When we publish a real before/after, it will meet all of these:

  • The client is named, and has approved the wording in writing before it goes live.
  • Every figure states its source (for example, a CRM or phone-system export) and the date range it covers.
  • It describes what changed in the process and what stayed manual.
  • It is presented as one company's result, not a promise of yours.

Investment

Typically $5k to $25k, fixed after the review

Engagements typically range from $5k to $25k depending on scope. You will not get a vague hourly estimate: after the Leak Review, you get a written plan with one fixed price.

What moves the price:

  • How many of the five systems you need, and how deep each one goes
  • How many tools have to be connected, and how clean your current data is
  • Number of locations, service lines and trades
  • How much custom messaging, routing logic and training your team needs

We do not promise a specific return. The goal is fewer dropped leads and less manual chasing; whether that is worth the investment is something we work through with you on the call, using your own numbers.

Fit and no-fit

Be honest with yourself before you book

Likely a fit if…

  • You run an HVAC, plumbing, roofing or electrical company at roughly $1M-$20M a year.
  • You are the owner or have authority to make the decision.
  • You already generate steady leads and calls, and some of them are slipping through.
  • You use, or are willing to use, a CRM or field-service system to keep jobs in one place.
  • You can give us a few hours of your or your office manager's time during the build.
  • A fixed-price project of $5k-$25k is realistic for your business.

Probably not a fit if…

  • You are looking for a lead-generation or ad agency. We fix what happens after the lead arrives.
  • You want a guaranteed revenue number. We don't offer one.
  • Your business is a very early-stage or one-truck operation. A smaller step may serve you better, such as our $199 website audit.
  • You want to replace your dispatcher, CSRs or sales team with AI.
  • You are not ready to change how the office handles leads and follow-up.

FAQ

Questions owners ask first

What tools do you work with?

We build around the software you already use: your CRM or field-service platform, phone and texting system, email, calendar, accounting or invoicing tool, and Google Business Profile. Whether a given piece can be automated depends on what integrations or access each tool offers, and we check that during the review. We are not a reseller and have no partnership with any software vendor, so we recommend what fits and not what pays us.

Who owns the data and the systems?

You do. Your customer data stays in your accounts. Where possible we build inside accounts you own and hand over documentation of how everything is set up. Anything that must run on our infrastructure is stated in the build plan before you approve it, along with how you could take it over or switch it off.

What happens if it isn't a fit?

We will say so on the call. If the leaks are small, your tools can't support the automation, or a different step would help more, we tell you plainly. Nothing gets built until you approve a written, fixed-price plan, so there is no pressure to proceed.

Will AI talk to my customers without me knowing?

Not unless you want it to. You approve the wording and the rules before launch. Urgent, sensitive or unusual situations are routed to a person, and you can pause the system at any time.

Who is on the other end?

Relaycairn, also operating as FreedomStack. Form submissions go to Julien, and you can write directly to julien@relaycairn.com. We don't publish team bios or credentials on this page; if you want to know who will do the work, ask on the review call.

Do you have case studies?

Not yet. The before/after example on this page is labelled illustrative because it is not a client result. When we publish a real one, it will name the client, have their written approval, and cite where each number came from.

Book your Operations Leak Review

Tell us about your shop. We'll reply to schedule the 30-minute review.

This short form helps us tell, before any call, whether we can actually help. Answer honestly; a "not a fit" reply saves us both time. We schedule by email for now: after you submit, we reply with a few time options. You can also write to julien@relaycairn.com.

CRM, field-service, phone and invoicing tools you use today.

A sentence or two is plenty. Example: “After-hours calls go to voicemail and we lose most of them.”

How we use your data: what you submit is sent to Relaycairn's lead workflow and email so we can review your answers and reply about the Leak Review. We do not sell your information or add you to unrelated lists. Fields marked * are required. See the privacy policy, or email julien@relaycairn.com to ask for your information to be corrected or deleted.
