AI operations for owner-operated ecommerce & DTC brands

Your ops team is the bottleneck, not your ads.

We build done-for-you ecommerce AI operations systems that follow up on wholesale inquiries, chase supplier POs and reconcile 3PL counts, so your people review exceptions instead of living in inboxes and spreadsheets.

Scope my ops systemsSee the systems

For Shopify, WooCommerce and Amazon brands in roughly the $1M–$20M range with a 3PL or in-house warehouse. A human approves outbound messages unless you opt otherwise.

The ops problems, in the words owners use

If two or more of these sound familiar, the work is probably repeatable enough to systematize.

Wholesale inquiries sit in the shared inbox for days before anyone answers.Buyers who don’t hear back move on to the next brand. Nobody owns the follow-up.
I’m chasing PO confirmations, ship dates and invoices by hand, in email and a spreadsheet.Late or mismatched confirmations surface when stock is already short.
Our 3PL counts and shipment records drift from Shopify and the books, and nobody checks until we stock out.Reconciliation happens when something breaks, not on a schedule.
Every chargeback means digging up evidence by hand against a deadline.Order, shipping and customer records live in different places.

Three systems we build

These describe what we build and how each works. They are not claims of results. Every system is scoped to your stack and processes before build.

1. Wholesale Inquiry Follow-Up

Trigger
A new B2B or wholesale inquiry arrives by email or web form.
What the system does
Captures the inquiry into a tracker, qualifies it against criteria you define (location, order size, category fit), drafts a reply, assembles a line sheet or pricing packet from your approved materials, and schedules follow-up reminders.
What a human still approves
The reply, the attached pricing packet and any terms before anything is sent to the buyer.
Output
A reviewed reply in the buyer’s inbox, a logged lead with status, and a follow-up queue so nothing goes quiet.

2. Supplier PO Chase

Trigger
A purchase order is issued, or an open PO passes a checkpoint you set (no confirmation, ship date approaching, invoice outstanding).
What the system does
Tracks open POs in one sheet, drafts reminder emails to suppliers, compares confirmations and invoices to the original PO, and flags late or mismatched items.
What a human still approves
Each reminder before it goes out, and any decision on a flagged discrepancy.
Output
A live open-PO board with status, a short daily or weekly exceptions list, and drafted supplier follow-ups.

3. 3PL / Inventory Reconciliation Digest

Trigger
A weekly schedule, using exports from your 3PL, storefront and accounting tool.
What the system does
Compares on-hand counts and shipment records across the 3PL, Shopify/WooCommerce/Amazon and QuickBooks/Xero, then groups the differences by SKU and size of variance.
What a human still approves
Any inventory adjustment, 3PL claim or message to the warehouse. The digest only reports.
Output
A weekly exception report listing mismatches to investigate, instead of a surprise stockout.

Also available: dispute-evidence packet assembly

Trigger
A chargeback or dispute notice.
What the system does
Gathers order, shipping and customer-communication records into a structured evidence packet and notes the response deadline.
What a human still approves
The final packet and its submission.
Output
A draft evidence packet ready for review. Outcomes depend on the card network and issuer, and we make no promise about win rates.

How an engagement works

A short, fixed-scope project, not an open-ended retainer.

  1. Discovery call

We walk through your inbox, POs, 3PL reports and where the time goes, and decide whether the work is a fit.

  2. Scoped fixed-price build

You get a written scope with the systems, tools and a fixed price before we build anything.

  3. Human-in-the-loop approvals

We test with your real examples. Outbound messages and adjustments stay approval-gated unless you opt otherwise.

  4. Handoff & documentation

You get written documentation, a walkthrough for your team and the systems running in accounts you own.

$5k–$25k
Typical engagement range. Final price is set after scoping, based on the number of systems, tools and data complexity.

Who this is for, and who it isn’t

A good fit

  • Owner-operated ecommerce or DTC brands, typically 3–25 staff
  • Roughly $1M–$20M in revenue on Shopify, WooCommerce or Amazon
  • A 3PL or in-house warehouse
  • Ops pain you can describe and that repeats every week
  • An owner or ops lead who can approve work and provide access

Not a fit

  • Pre-revenue or very early stores still finding product-market fit
  • Anyone looking for ad management, creative or media buying
  • Teams wanting a generic chatbot rather than a defined ops workflow
  • Processes that aren’t documented or repeatable yet

Questions owners ask

What data and permissions do you need?

Only what each system needs, with the least privilege possible. Read-only access or scheduled exports where they’re enough. You own every account, and we work through access you grant and can revoke at any time, including at handoff.

Data handling in plain language: we don’t need your payment card data or storefront admin passwords. During scoping we document which tools and AI services would touch which data, and you approve that list before we build. Questions are welcome at julien@relaycairn.com, and our privacy policy covers this site.

What stays human-approved?

By default, every outbound message to buyers or suppliers, every pricing packet, every inventory adjustment or 3PL claim and every dispute submission. The systems draft, flag and report. People decide. If you want some low-risk messages sent automatically, that’s an explicit opt-in we scope with you.

Which tools do you support?

We work with Shopify, WooCommerce, Amazon seller exports, Gmail and Outlook, Google Sheets, QuickBooks and Xero, and common 3PL exports (such as CSV or spreadsheet reports). We don’t promise specific integrations beyond these. If your 3PL or tool isn’t on the list, we’ll tell you on the discovery call whether an export-based approach works.

How long does it take?

As a rough range, a single system often takes a few weeks from kickoff, and a multi-system engagement can take longer. Timelines depend on how quickly we get access, how clean your data is and how fast your team reviews test output. These are estimates, not guarantees, and the scope document will state the schedule we expect.

Can you promise hours saved or revenue gains?

No. Results depend on your volume, data and how your team uses the systems. We describe what we build and how it behaves, and we’ll talk through realistic expectations for your situation on the call.

Tell us where ops is stuck

A few details are enough. We reply by email to talk through fit, and if it makes sense, a short discovery call to scope the work. No obligation.

By submitting you agree we may email you about this request. See our privacy policy. Prefer email? Write to julien@relaycairn.com.
